About this policy
This privacy policy explains how Clients Cut, operated by H3llo H3llo Ltd, collects, uses, and protects your information. Clients Cut is a CRM tool designed for videographers and video production businesses.
This policy supplements our main company privacy policy. Where there is any conflict, this app-specific policy takes precedence for Clients Cut users.
Two types of data
Clients Cut processes two distinct types of data:
Your account data: Information about you and your business account
Your client data: Information about your leads and clients that you store in the system
We are the data controller for your account data. For your client data, you are the data controller and we act as a data processor on your behalf.

We never use your client data for our own marketing or sell it to third parties. Your client relationships are your business, not ours.

Email communications
If you use Clients Cut to send emails to your clients:
Emails are sent through our email service providers
We track delivery status, opens, and clicks to help you understand engagement
Email content is stored to maintain communication history
You are responsible for compliance with anti-spam laws
Third-party services
We use the following types of third-party services to operate Clients Cut:
Cloud hosting: To store and serve your data securely
Email delivery: To send emails on your behalf
Payment processing: To handle subscription payments (we never see your full card details)
Error tracking: To identify and fix bugs (anonymised)
We do not use advertising networks. We do not share your data with data brokers. We do not sell your information or your clients' information.
Data retention
Active accounts: Data is retained while your account is active
Cancelled subscriptions: You can still access and export your data for 30 days after cancellation
Deleted accounts: All data is deleted within 30 days of account deletion
Backups: May be retained for up to 90 days for disaster recovery
Your rights
Under UK GDPR, you have the right to:
Access: Download a copy of all your data
Rectification: Correct any inaccurate information
Erasure: Delete your account and data
Portability: Export your data in a portable format
Object: Object to certain types of processing

Your clients' rights
As you are the data controller for your client data, your clients should contact you directly to exercise their data protection rights. You are responsible for responding to their requests and can use Clients Cut's data management features to help fulfil them.

You can export your data at any time from the app settings. The export includes:

All quotes and proposals
All communication history
Project information and notes
Account settings and preferences
